Five options are listed to the right of the duplicate records. Each of these options is explained below.
If the ‘Show Warnings‘ option at the top of screen is selected a pop up window will appear giving further explanation of each option when they are selected. You may wish to un-tick this option once you become familiar with all of the options.
1. This is the same person (use new data):
Select this option if the record most recently added is the same person as the existing record and the new record contains more correct or complete personal/contact data.
2. This is the same person (keep existing data):
Select this option if the record most recently added is the same person as the existing/previous record and the existing/previous record contains more correct or complete personal/contact data.
3. This is a new person:
Select this option if the person, despite having the same first name, surname and date of birth, is in fact a different person. Please note: research suggests that this should only occur around about 1 in 10,000 records, so this option should be rarely used.
4. Oops, delete this person:
Select this option if a new record for the person was added by mistake and you wish to delete the new record (the old record remains).
This is different to the first two options in that the newly created record is deleted entirely from the new location. In the first two options, the record remains in both locations (eg the 2 different clubs or associations) but the data is consolidated into a single record.
5. Ignore this person for now:
This is the default option which defers a decision on resolving the duplicate until a later time.
